Overview
An Episode of Care (EOC) is a grouping of assignments for each patient related to a targeted health outcome for a specific treatment plan. Episodes of Care are listed under the Episodes Tab within the patient record.
Note: The definition of an EOC can vary by medical speciality. For example, in fertility, patients should have a new EOC for each treatment cycle or when new related patients/partners are associated with their record.
New Episodes of Care
New Episodes of Care may need to be created for the following reasons:
- In fertility, a change in a patient’s relationship status:
- Episode 1: Amy seeks treatment X and she is a single patient
- Episode 2: Amy seeks treatment Y and she now has a partner, Sam
- Episode 3: Amy seeks treatment Z with a new partner, John
- New treatment cycles
- In orthopedics, if a patient comes in for a knee replacement on the left knee, an EOC should be created. If they return at a later date to get the right knee replaced, a second EOC should be created.
New Episodes of Care can be created manually within the “Episodes” tab of the patient record if using EngagedMD as a standalone system. If EngagedMD is integrated with your clinic’s EMR, Episodes of Care may be created automatically through the integration.
Episodes are meant to be flexible, and your clinic should feel free to use them as they see fit.
Multiple Episodes of Care
In fertility, a patient could have multiple active Episodes of Care for the following use cases:
- Same sex couple and both individuals need to complete paperwork as primary patients
- Staff should create a new Episode of Care so that the related patient becomes the primary patient in the second Episode to send the forms needed.
- Related male patient needs to fill out consent forms as primary patient
- If you have a male patient who is entered into EngagedMD as the related patient, you can create a new Episode of Care with the male only (e.g., to assign the Sperm Freeze bundle).
Inactive Episodes of Care
Inactive Episodes are no longer relevant and are removed from the Episodes of Care list to streamline the assignment process.
Adding assignments to an Episode of Care
Steps:
- Search for the patient record.
- Click on the “Episodes” tab.
- Select “New Episode” and then “Create New Episode”.
- Enter related patients if applicable and care team members.
- Select “Add Assignment”.
- Add the appropriate assignments. As assignments are selected, they will show up on the right side of the screen under “Selected Assignments”. Once the assignment selection is completed, click on “Next”.
- Within the “Assignment Settings” details screen, select the “Doctor” and other details required (e.g., signers for Form assignments). Make any edits needed on the right side of the screen under “Edit Assignments”.
- Once the assignment details are entered and confirmed, select “Assign” to add the Episode of Care.
